The Arizona State Museum (ASM) Archaeological Records Office (ARO) is hiring an Archaeological Records Specialist (PC2).
The position is a 1.0 full-time equivalency (FTE) university staff position within the Collections Division of the ASM, University of Arizona (UA), reporting to the ARO manager. The position assists in the administration and implementation of the Arizona Antiquities Act (AAA; A.R.S. 41-841 et seq.), and ensures compliance with all related policies and procedures outlined by state and federal laws and Arizona Board of Regents (ABOR) rules. The incumbent will process, manage, curate, and facilitate access to archaeological site and project records in the ARO. Using archaeological records held in the ARO and other ASM offices, they will conduct research on behalf of clients in CRM archaeology.

Duties and Responsibilities:
Approximately 50 percent of the employee’s time is spent on submission review and curation of archaeological site and project records in the ARO. The other 50 percent of the employee’s time is spent performing tasks that allow ASM’s clients to access, use, and understand the ARO’s archaeological records.
Submission Review and Curation:
- Receives and reviews project submission materials (ASM Site Cards, Project Registration Forms, reports, and digital images) by checking for completeness, communicating results to clients, and preparing submission materials for curation.
- Conducts project tracking that includes entering incoming job information into workflows contained within the Mandated Programs databases.
- Assesses payment status and maintains a database inventory of incoming project submission materials.
- Maintains paper and electronic records, including USGS 7.5-minute quadrangle maps illustrating archaeological site boundaries.
Assisting ASM’s Clients with ARO Records:
- Assists with in-office and virtual ARO visitor services, including providing access to and facilitating use of archaeological records and USGS 7.5-minute maps.
- Fulfills document requests that may include archaeological reports, ASM site cards, and Project Registration Forms.
- Conducts archaeological records research for archaeologists and for non-archaeologists, prepares summary reports of the results, and produces GIS-generated maps.
- Assists with supervision and training of ARO students and volunteers.
- Additional duties may be assigned including (but not limited to) providing assistance to the ASM AAA Permits Office, the State Repatriation Office, and the Repository, as appropriate.
- Works in person on the University of Arizona’s Tucson campus.
Knowledge, Skills, and Abilities:
- Knowledge of archaeological principles, methods, practices, and vocabulary.
- Knowledge of geographic information systems (GIS) principles, methods, and practices, or a willingness to learn them within the first year of employment.
- Ability to work with ASM’s software, including Microsoft Access, Word, Excel, and Outlook. Willingness to learn new software and technology, such as EMu and Quickbase.
- Good verbal and written communication skills, attention to detail, and excellent organizational skills.
- Ability to develop and manage multiple and diverse records-related projects to completion.
- Exceptional team building, multi-tasking, interpersonal, and organizational skills, and the ability to create personal relationships and communicate well with diverse groups.
- Demonstrable high-level of competence with Microsoft Access, Word, and Excel.
Bachelor's degree in Anthropology or equivalent advanced learning attained through professional level experience and 3 years of relevant work experience, or equivalent combination of education and work experience required.Preferred Qualifications
- Master’s degree in Anthropology or a relevant field.
- 3+ years of archaeological experience working with a cultural resources management firm or agency in the American Southwest.
- Experience doing data entry for archaeological project and site records.
- Experience working with archival records.
- Experience using ASM standards for archaeological fieldwork and reporting, especially for Arizona Antiquities Act-permitted work on state lands.
- Experience reading USGS 7.5-minute quadrangle maps and an understanding of Universal Transverse Mercator (UTM) coordinates and the Public Lands Survey System (PLSS).
- Experience with ESRI ArcGIS software, especially creating/editing shapefiles and exporting maps.
- Experience working with AZSITE, the online GIS that serves as a consolidated informational network of recorded cultural resources for the State of Arizona.
- Experience working with relational databases, especially with import/export functions and query and report creation.
- Experience and skill in customer service.
